Providence is calling an Administrative Assistant - SJR (0.8 FTE, Days) to work in Volunteer Services at Providence Mount St. Vincent in Seattle, Washington.

This position provides a wide range of highly complex and moderate to high volume administrative tasks in support of the St. Joseph Residence (SJR) Superior/Administrator and the SJR Administrator for Operations. Responsibilities include the organization, prioritization and coordination of a moderate to high volume of work including confidential information. Specific duties include exceptional customer service to customers and visitors; creating, typing, editing, and proofreading various department documents; creating and maintaining filing systems; scheduling meetings and arranging travel; entering, extracting, and analyzing data into reports and presentations; manage workload required to complete organization projects. Transportation of residents.

In this position you will:

  • Manages the office support responsibilities for SJR, including support of the Leader/Administrator and other staff.

  • Receives visitors at reception desk and directs incoming phone calls. Paging as needed.

  • Creates, edits and proofreads correspondence, memos, presentations and public relations materials that are distributed to leadership, caregivers, residents and families.

  • May organize and maintain filing system to include paper files as well as database management and other online systems.

  • May collect cash funds, audits/expense reports; manage petty cash

  • May schedule meetings, set up equipment, order catering, take and distributes minutes.

  • Monitor and maintain key distribution

Qualifications:

Required qualifications for this position include:

  • High School diploma or equivalent

  • Three (3) years experience as an administrative assistant supporting management in a large organization

  • Proficient with Microsoft Office Suite, in particular Outlook, Word, Excel, Powerpoint, Publisher, and SharePoint

Preferred qualifications for this position include:

  • Associate's Degree in Business or related field

  • Two (2) years experience working in a healthcare environment, preferably in long term care or assisted living
