Providence Executive Assistant, Ambulatory Surgery Center (Full-Time, Days) in Seattle, Washington
Providence St. Joseph Health is calling a Executive Assistant, (Full-Time, Days) to our location in Seattle, WA.
We are seeking a Executive Assistant who will support the Senior Management Team within the Ambulatory Care Network Division. This position will be critical in supporting administrative tasks and also have extensive interaction with managers, executives and staff within PSJH; and with vendors, representatives of professional associations, government agencies, consultants, and other external organizations. Successful performance in the position will require tact, and diplomacy; respect for confidentiality; and extensive knowledge of organizational operations, procedures, and staff.
In this position you will have the following responsibilities:
Work with the Executive Team to develop plans needed to carry out assigned activities and projects. Exercise independent judgment with regard to planning, organizing, and scheduling work.
Oversee the coordination of the office of the individual(s) they support. May involve supervision of other administrative employees. Establish and maintain collaborative, credible, trusting partnerships with individuals across a broad range of people and groups, both internal and external.
Perform administrative functions in support of meetings as assigned. Support activities include timely collection and preparation of draft agendas; dissemination of meeting materials; coordination of meeting records, evaluations and follow-up reports.
Schedule meetings (group and individual), travel, and outside commitments.
Use data analytics and reporting to advise and guide senior executives for effective and insightful decision-making. Distill complex information into key insights, clear recommendations, and action plans.
Use word processing software, spreadsheet software, and various presentation software options to complete complex assignments with timeliness and accuracy. Exercise independent judgment and decision-making in handling incoming and outbound information and material.
Provides appropriate referrals to matters as they arise, or inform your supervisor(s) when a situation warrants direct attention.
Coordinates monthly meetings. Schedules room, confirms personnel attendance, etc. Makes meeting room arrangements for a variety of meetings requests refreshments and/or meals, and ensures that materials and audio/visual equipment needs for meetings are appropriate.
Required qualifications for this position include:
Associate degree in Business Administration or liberal arts with knowledge of office support services or equivalent.
4 years related office experience.
