Providence Health & Services Executive Assistant in Seattle, Washington
Providence St. Joseph Health is calling an Executive Assistant to our location in Seattle, WA.
We are seeking an Executive Assistant to be responsible for performing ongoing administrative support services of a complex, and often confidential, nature for a senior manager and/or a group of professionals within PSMS. This person holding this position performs work that is varied, highly sensitive and generally administrative and/or project-oriented in nature, and includes managing complex calendars, meetings, agendas, events and special projects. It is anticipated that the person holding this position will network extensively with many of the organization's management team and will represent their supervisor in a positive and professional manner.
In this position you will have the following responsibilities:
Work with a busy CEO and direct reports to provide dedicated administrative expertise supporting immediate and long-range projects and activities.
Manage projects, budgets and initiatives, both independently and on behalf of the executive team.
Perform administrative functions in support of meetings as assigned including the timely collection and preparation of draft agendas; dissemination of meeting materials; coordination of meeting records, evaluations and follow-up reports.
Schedule meetings (group and individual), travel, event and outside commitments.
Use word processing software, spreadsheet software, and various presentation software options to complete complex assignments with timeliness and accuracy. Exercise independent judgment and decision-making in handling incoming and outbound information and material.
Act as the internal liaison between internal and external partners and vendors including representatives of professional associations, government agencies and consultants.
Required qualifications for this position include:
Either a two or four year college or university degree in English or Liberal Arts or the equivalent education and experience.
A minimum of 4 years of experience supporting leaders in an administrative capacity including up to three years working directly for a manager or executive and can hit the ground running.
Strong experience executing projects, managing budgets, managing complex calendars, developing PowerPoint presentations and planning events
Strong experience using and leveraging project and program management tools and techniques.
Experience with all Microsoft Products, with advanced PowerPoint and WORD expertise, Smart Sheet, SharePoint, ERP Systems (Oracle).
Experience with reporting tools such as Tableau, SQL OBIEE, Crystal Reports or Microsoft BI are a plus.
