Providence Health & Services Senior Administrative Assistant in Tukwila, Washington
Providence is calling a Senior Administrative Assistant (Operations Department, Day Shift, Full Time) to Providence Health & Services in Tukwila, Washington. This position is responsible for providing senior-level administrative and project management support services of a complex and confidential nature for senior executive leaders across multiple disciplines within PHCC. This position performs work that is varied, project oriented, administrative and often secretarial in nature. This position has a primary role in coordinating enterprise-wide projects that impact the care continuum. Administrative duties include but are not limited to managing calendars, correspondence, meeting and agenda preparation, document preparation, and other logistical matters. The work may also include special projects. This individual communicates regularly with both internal and external leaders in a variety of roles including physician leaders, operational leaders, quality leaders, finance leaders, as well as vendors and consultants. The individual in this role must represent their core leaders in a positive and professional manner. This position will support VPs, Directors and C-level executives within the PHCC region.
In this position you will:
Works with the Chief, Home Health, the CFO and other executives to develop plans needed to carry out assigned activities and projects. Exercises independent judgment with regard to planning, organizing and scheduling work.
Supports the enterprise- wide Home Health Operations Council. This includes preparing agendas, materials, documents and taking and managing minutes for governance and arranging logistics for Home Health Ops meetings.
Travels as needed to support PHCC meetings, work teams and other groups under the direction of the Chief, Home Health.
Coordinates the office of the individual(s) they support. Assures adequate inventory of supplies, timely scheduling of activities, presence and ongoing use of appropriate record keeping systems, and effective work flow through the office.
Performs administrative and secretarial functions in support of meetings as assigned. Support activities include preparation of draft agendas; electronic distribution of meeting materials; documentation of meeting discussions, and coordination of follow-up reports as appropriate.
Schedules meetings (group and individual); makes travel arrangements as necessary.
Coordinates and provides support to overall office success including audio visual equipment, conference room set up, office supplies, etc.
Uses word processing software, spreadsheet software, and various presentation software options to complete assignments with timeliness and accuracy. Exercises independent judgment and decision making in handling incoming and outbound information and material.
The position is responsible for basic planning activities related to a wide variety of administrative and office related assignments. Also responsible for recommending efficient and accurate procedures to address work flow through their area of responsibility.
The position does not supervise other staff, however the position provides a high degree of coordination with other administrative support staff.
Required qualifications for this position include:
Associate's Degree in Business or a related field or equivalent education/experience. Extensive executive support experience may qualify in lieu of a degree
4 years of executive or senior administrative assistant experience, including at least 3 years working directly for a senior executive
5 years of experience with Microsoft Office suite, as well as high degree of comfort with technology
Strong understanding of basic medical terminology.
